Pick statuses you can defend
Keep the vocabulary short. Most SaaS teams only need four public columns — plus an optional Declined state for honesty.

Source every card from real feedback
Do not invent a roadmap in a vacuum. Pull top requests from your feedback board, merge duplicates, then promote winners. Votes are a signal — not the whole decision.
Keep dates fuzzy on purpose
Prefer quarters or “next” over hard ship dates unless you are sure. Customers care more about direction and honesty than exact Tuesdays. Hard dates that slip destroy trust faster than no dates at all.
Publish on a branded portal
Host the roadmap on your domain (for example updates.yourapp.com). Link it from your app nav, docs, onboarding emails, and support macros so it becomes the single source of truth.
Close the loop when you ship
When an item moves to Completed, publish a changelog entry and notify everyone who voted. That last mile is what turns a roadmap into a product habit — not a static page.
