Inventory what you actually use
List boards, tags, statuses, admins, the public URL, widget embeds, and notification rules. Anything unused stays behind — migrate signal, not clutter.

- Status vocabulary (Pending, Planned, In progress, Done)
- Custom domain + DNS owner
- Widget install locations (app, docs, marketing)
Export and clean before import
Pull CSV or API exports, merge obvious duplicates offline if needed, and normalize titles. Garbage in becomes a worse board in the new tool.
Migration checklist by vendor type
Most teams leave a specialist board or a lightweight voter. Map the job to Upwip modules once — you should not need a second tool for roadmap or changelog after cutover.

Remap statuses and go live
Map old labels to a short public vocabulary. Soft-launch with your team for a day, then point DNS and widgets. Keep the old board read-only for a week if you need a safety net.
Announce and close the loop
Post a changelog note, update support macros, and email power voters. From day one, ship updates from the new portal so trust transfers with the URL.
